Information we collect

We may collect information you provide when requesting a quote, creating an account, making or amending a booking, applying for a credit account, making a payment, contacting us, or using our customer portal. This can include your name, company name, postal and delivery addresses, email address, telephone number, booking references, collection and delivery instructions, account and billing information, and correspondence with us.

Booking, delivery and proof-of-delivery information

To provide courier services we may process collection and delivery contact details, route and stop information, item or consignment information, delivery instructions, operational timestamps, proof-of-delivery information, recipient names, signatures, delivery photographs and related records. Where live tracking or driver location information is used, it is used for operational delivery, dispatch, safety, arrival verification and service evidence.

Driver app location and device information

When an authorised BM Couriers driver is working on an active job, the driver app may collect precise location information while the app is in use and in the background. This allows dispatch to view job progress, supports route operations, and validates arrival at collection, intermediate stops and delivery. Background location tracking is intended to operate only while a driver has an active job and stops when there is no active job or the driver signs out. The app may also store a device push-notification token so operational job alerts can be delivered. Detailed location history is retained for a limited operational period configured by BM Couriers and is not included on customer proof-of-delivery PDFs.

Payment information

Card payments are processed through our payment provider. BM Couriers does not need to store your full card number or card security code in our own website database. We may retain payment status, transaction references, invoice and refund information needed to administer your booking and accounts.

Why we use your information

We use personal information to provide quotes and courier services, create and manage bookings and customer accounts, process payments and refunds, administer credit accounts, send booking and service communications, issue invoices, statements and proof-of-delivery documents, provide customer support, manage disputes and claims, protect the security of our systems, prevent misuse or fraud, comply with legal and regulatory obligations, and operate and improve our business.

Our lawful bases

Depending on the purpose, we process personal information because it is necessary to perform a contract or take steps at your request before entering a contract, because we have a legal obligation, because it is necessary for our legitimate interests in running and protecting a courier business and serving customers, or because you have given consent where consent is required. Where consent is used, you can withdraw it for future processing.

Who we share information with

We may share relevant information with authorised employees, drivers, subcontractors, delivery partners and customers or recipients involved in a booking where this is necessary to provide the service. We also use service providers that support our website and operations, including hosting and infrastructure, database services, payment processing, address and mapping services, email and communications services, document storage and driver/dispatch systems. We only share information that is reasonably necessary for the relevant purpose.

International processing

Some technology providers may process information outside the United Kingdom. Where UK data protection law requires safeguards for an international transfer, we rely on an applicable adequacy arrangement or other approved contractual or legal safeguards.

How long we keep information

We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, including providing the service, maintaining customer and booking records, handling complaints, disputes or claims, meeting accounting and tax requirements, and complying with other legal obligations. Different categories of information may therefore be kept for different periods. When information is no longer required, it is deleted, anonymised or securely archived as appropriate.

Security

We use technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure or loss. Access to customer, booking, billing and operational information is restricted according to business need.

Your data protection rights

Depending on the circumstances, you may have rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, objection to certain processing, and transfer of information in a portable format. You can also withdraw consent where processing is based on consent. These rights are subject to the conditions and exemptions in UK data protection law.

Complaints

If you have a concern about how we use personal information, please contact us first so we can try to resolve it. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator.

Cookies and similar technologies

Our use of cookies and similar technologies is explained in our Cookie Policy. At present, the BM Couriers website uses strictly necessary cookies for secure customer and administrator sessions. We do not currently use optional analytics or advertising cookies in the website code.
